Invoice and Receipt Capture
Through the app, all you need to now do is take a quick snap on your phone (don’t worry, this doesn’t save to your pictures so no need to worry about phone memory getting filled up!)
No more keeping a pile of invoices in a drawer in your car or stuffed in a drawer!
Once you have taken the pic, it will upload and the receipt can be chucked in the shredder.

Invoice Payment
Gone are the days where the finance manager (or business owner) would print out a pile of invoices and put them on their desk for meticulous review.
Said finance manager would take each invoice in turn and sperate into a "Pay Now" pile and a "Pay Later" pile.
The pay now file would then be taken for further review and payment details of the supplier, total amount payable, bank details etc would then be manually taken and entered into the banking system.

Payroll
Payroll is fun, right? Well we thought that too which is why we have come up with a streamlined solution to that too.
Every month you will receive a notification via the app asking whether there are any changes to your payroll this month. If none, great. Let us know by clicking no changes, and we can get it processed for you.
If there are changes to the payroll, then we will invite you to your own client portal for you to tell us of any new starts, leavers, salary adjustments etc. In a few simple clicks, you can seamlessly hand over the data, we can process and then finalise for approval.
We can also give portal access to your staff directly so that they can enter their own bank details, national insurance etc. Again, reducing the risk of human error and to you and your business.
Quick and easy, right?
Then, to bring a close to the payroll loop, we then provide you with a link which gives you the total salary cost. You can then transfer this in one go, much like in the invoice payment system above.
This avoids the time consuming task of paying all your staff individually, and massively reduces the risk of human input error. It's hard to explain how easy it is to transpose a figure when entering things like salary payments!

First, we need to look at the old way of doing things:
You receive invoices from suppliers, you then sort each invoice into a “pay now” and “pay later” pile based on invoice due date, you go through each invoice in turn and manually pay each one by manually entering bank details and payment amount – so much room for error!
The Alderstone System:
Our Team of Experts receive the invoices directly from your suppliers using your very own unique mailbox (you can be complexly hands off with this, or you can be copied in, whichever you prefer), Our Team then extract the relevant data as part of our bookkeeping process and provide you with a list of outstanding invoices sorted by due date, you select which invoices you want to pay and then make one big lump sum payment.
